Purpose: This policy establishes the principles and requirements governing the use of Global Positioning System (GPS) tracking by Afras Environmental Services. The purpose of GPS tracking is to enhance operational efficiency, ensure compliance with regulatory and contractual obligations, improve safety, and support effective management of company vehicles and field operations.

Scope: This policy applies to all Afras Environmental Services vehicles and equipment fitted with GPS tracking devices and to all employees or contractors operating such vehicles.

GPS Tracking System: Afras Environmental Services uses a third-party GPS tracking system, embedded within the company’s official website portal, to monitor real-time vehicle locations, route history, and operational activity. The GPS portal is managed by the service provider, and Afras ensures the provider complies with applicable data protection and security standards.

Data Collection: The GPS tracking system may collect and store the following data:

  • Vehicle identification (number, plate, type)
  • Real-time geographic location (latitude, longitude, timestamp)
  • Travel routes and trip history
  • Driving performance indicators (speed, idle time, stop/start events)

Note: No personal data unrelated to operational purposes will be collected.

Data Usage: GPS tracking data shall only be used for legitimate business purposes, including but not limited to: enhancing fleet and driver safety; monitoring compliance with traffic laws, client requirements, and environmental regulations; optimizing routing and fleet efficiency; investigating incidents, accidents, or complaints; and supporting regulatory reporting and audits.

Access Control & Confidentiality: Access to GPS tracking data and the embedded GPS portal is restricted to authorized Afras management and compliance personnel. GPS data shall not be disclosed to unauthorized individuals or external parties except as required by law, regulatory authorities, or contractual obligations. The third-party service provider shall only access data for system maintenance, troubleshooting, and technical support.

Data Retention: GPS tracking data will be retained for a minimum period of six (6) months or longer if required for investigations, audits, or legal purposes. Data shall be securely archived and disposed of in compliance with Afras Environmental Services’ data management protocols.

Employee Awareness: All employees and contractors operating GPS-enabled vehicles shall be notified of the presence of GPS tracking systems and the purposes for which data is collected and used. Afras will provide mandatory training on this policy as part of its fleet and compliance management programs.

Compliance & Review: This policy shall be reviewed annually by the Afras Environmental Compliance Department to ensure its continued alignment with Saudi Arabian laws, contractual obligations, client requirements, and best practices in fleet management.

Enforcement: Failure to comply with this policy may result in disciplinary action, up to and including termination of employment or contract, and potential legal consequences where applicable.
